Standard Operating Manual
Document Code: SOP-001 | Revision: 1.0 Fleet Framework
This operational framework governs all small Unmanned Aircraft Systems (sUAS) flight lines executed by Apex Vector LLC field crew elements across South-Central Kansas.
01. Pre-Flight Systems & Intake Configuration
- Aviation Intake Review: Every project request is reviewed for airspace, scope, and site access, then planned in our flight planning software before a formal quote is issued.
- Airspace Validation: Crew elements execute current NOTAM and TFR reviews, local flight restriction checks, and LAANC launch authorizations prior to any power cycle on remote elements.
- Three-Stage Mission Documentation: Every mission is documented in three signed stages under one Mission ID: (1) the Master Services Agreement (SOP-AGREE-003) with its Property Access & Release and Data Addendum, signed electronically through DocuSign; (2) an on-site Pre-Flight Site Survey reviewed with the client or landowner; and (3) a Flight-Day Risk Assessment completed by the Remote PIC before launch.
02. Enforced Flight Line Boundaries
To protect non-participating personnel and maintain complete site control, Apex Vector LLC establishes and enforces physical security perimeters on the ground during all takeoffs, automated grid mapping sequences, and structural scans:
- 15-Foot Inner Critical Exclusion Zone: Centered strictly around the landing pad module. Purely critical flight crew elements only; zero unauthorized access permitted while rotors are armed.
- 25-Foot Outer Security Boundary: Demarcated by high-visibility flight-line barriers and safety signage for crowd control and spectator mitigation.
03. Weather, Rescheduling & Milestone Billing
Quality aerial data depends on good flying conditions. In line with our Master Services Agreement:
- Weather Ceilings: The Remote Pilot in Command (RPIC) maintains ultimate authority to postpone operations due to localized micro-climate disruptions, extreme wind gusts, or visibility drops.
- Rescheduling: Weather and safety delays are rescheduled to the next available date. If an extra site visit is needed, a remobilization fee applies as stated in your agreement, and we work with you in good faith on alternatives when plans change.
- Milestone Billing: Projects are billed in three phases: 30% at signing (mobilization and airspace), 40% when in-field capture is complete, and 30% when deliverables are ready. Completed phases remain billable.
04. Equipment & Sensors
Standard missions are flown with high-resolution visual (RGB) cameras. Thermal and multispectral (NDVI) services are offered only when performed with a properly equipped aircraft, and are confirmed in your quote.
